Next Meeting: October 18, 2021 at 4 pm at the Metals Bank

Venue

·       Errors in Copper King contract: no commitment to use of room after 10 pm or music after 10 until midnight if 25 rooms around the ballroom are rented, confusion about additional block of 25 rooms, conflicting statements about gratuity and service fees, liability, use of space for videos and vendor tables not specified in contract. Deadline to sign and place deposit is September 1

          Discussed back-up plan:

1.      Country Club charges $2/person, capacity 200, catering and bar internal, no place for large group photo, ramps for handicap/no elevator, only available July 15-16, 2022. Jim will talk to management about detailed costs. Char will talk to Denise G about her event few years ago

2.      Quality Inn (previously War Bonnet) would not commit in May, not knowing if they would be in business next year. Char will re-check

·        Irene provided cost breakdown for Copper King. Without alcohol (and related gratuities) and not including other expenses, expected cost could be as low as $16/person/night, including service and gratuities. (To be safe, for now, best to estimate higher at $25/person/night)

REUNION COMMITEE MEEETING MAY 24, 2021

DWELL SPACE FOUNTAIN
DWELL SPACE FOUNTAIN COPPER KING CONVENTION CENTER

Present: Char Trudgeon, Ross Richardson, Glenn Eurick, Marlene Hendrickson, Paulette Scherr, Raylene Kirk, Chris Hardesty, Cindy Lammi, Buggs Sundberg, Bernie Hansen, Terri Butala, Irene Finley.

Next Meeting: August 23, 2021 at 4 pm at the Pizza Ranch

Venue. Reunion is set for July 22-23,2022 at the Copper King Convention Center. Char and Marlene gave an update of the meeting with Copper King. Consider sponsors for pasties, courtyard rental, specific Rib & Chop menu items (or other caterer as decided by committee).

Catering was discussed. Hotel organizer would rather we use an external caterer. (She appears too busy to coordinate.) Casagranda's is going out of the finger food menu business. Metals has good reviews. Bernie will look into other options. The Committee voted at an earlier meeting to have finger foods, not a buffet or sit-down banquet.

Discussed possible photographer for group pictures each night who has the right equipment and experience. Other options are a photo booth, or those kids cameras that spit out pictures as you take them. Photos could be uploaded to a central site and people can purchase what they want.

Finances. The savings and checking accounts together have $3700. The Committee previously agreed to fundraising by donation to reduce the overall cost of the reunion. Five donors have each pledged $500 to cover the venue & insurance. Send donations made out to Butte High Class of 72 to Buggs Taylor Sundberg: 116 Mystic Lane, Butte, MT 59701. Irene will compare pledges and contributions with Buggs as time goes on. Since the cost of the venue is covered, at most the cost per person/per night would be $30-35. [not including add-ons that will be funded by donation.] If we have extra money, we need to think about where to donate it. The group would like to continue to have a reserve, about equal to what is in the two accounts now.

Irene reported on the status of Search. Anticipate 200 postcards for those we cannot reach by phone or email. Cost $55.99 for postcards and $72.00 for postcard rate postage. For bad addresses, post cards will be returned to Buggs and Irene will update Contacts. Marlene donated the cost of postcards at the meeting. Raylene donated a box of labels. Marlene will put an ad in Montana Standard asking classmates to contact class by email. The Head of the Teacher's Union has offered to send email to retirees asking for those we cannot find.

Discussion about the program for the reunion began. Moment of silence for those who have died. Honor veterans. Deceased Video on both nights, available to view for small groups on a laptop. Group decided: clothes are required (no dress code). Irene will host videos about Butte/chat one afternoon in the ballroom for those interested. Irene will host a Treasure Hunt around uptown Butte (maybe Thursday) with small gift baskets drawing 1 night for those who participated. Organized tours will be reserved for classmates and families arranged by Irene via email outreach and responses. Golf Saturday being planned. Several classmates are willing to host a crafts fair, prior to the evening events one day, selling their wares (if the venue will allow).

 TIMELINE:

July-ad in Montana Standard to reach out to classmates

August-send Save the Date US Post Office mailing (for those without confirmed email or phone)

October-send email with video as Save the Date for those with email.

November-start fundraising for add-ons. (Need quotes, list of items to purchase, examples: magnetic name tags with class pic and lanyard, a small local group tour, photo booth, pasties or other local favorites, portion of food or alcohol costs, gifts for long-standing Committee members, Courtyard rental for a night, photography expenses...)

 TO DO:

Char & Marlene will finalize the contract.

Bernie will talk to caterers and photographers and share back info.

Glen will look into photographer options as well.

Irene will work on a draft postcard, get labels and postage ready for August meeting.

Buggs will get information about local RV rentals to Irene to post links on Facebook and in email.

Irene will put links to Fairmont RV and resort on Facebook and include in email with gmail to all contacts. Irene to ask for participants for Crafts Fair in email updates.

Irene will notify people from Facebook to contact Chris Hardesty if they want the CD of pictures that Frank did for 40th reunion.

Paulette will post the minutes on the Facebook account and to her contacts.

Marlene will place ad in Montana Standard for 4th of July-send contact info to email.

REUNION COMMITTEE MEETING FEBRUARY 22, 2021

The reunion is scheduled for July 22-23, 2022 at the Copper King Convention Center with a cash bar and catering by the Rib & Chop House that will be finger foods on both nights. No buffet or banquet so people mingle more. Jim Axelson will DJ, allowing us more control of the sound system. For use of room after 10 pm, we need 25 rooms reserved.

While quotes can change before then, Marlene Tomsich Hendrickson was able to get this quote:

  Friday – July 22-2022

Saturday – July 23-2022

 Friday and Saturday

    25 QQ room block

      25 K Room Block

25 – qq/kk room block

              $129.00  $149

           $144.00  $169

  $129 / $144 respectively

 Fundraising Committee

The Reunion Committee agreed that members of the Search Committee may raise funds by donation to bring down the overall cost of the reunion. They agreed to the Search Committee's idea that some individuals or groups may want to sponsor specific items, like a photo booth, photographer, decorations, mugs or t-shirt take homes, or other specific add-ons. Some may prefer to donate generally, toward the cost of food or drink tickets. Contact for donations is this email, where we can document pledges and donation preferences.

 Report from the Search Committee

We have 157 confirmed contacts out of 546 classmates. We had some luck with the Facebook group. Of the Butte High group members, 69 have provided updated Contact information. That leaves 57 for whom we thought we could easily get updated contacts but we have not received to this point.

Each of the Search Committee members continues to do searches by city or state with 389 remaining. Our goal is to get a valid email and phone number. Irene Mitchell/Washington, Yvonne Cappellano/Colorado & Florida, Marlene Hendrickson/Missoula area, Irene Finley/Butte, Connie Jonas/North Dakota & Billings, Rick George/Oregon, Glenn Eurick & Rhea Hristou/Utah, Connie Rudolph/Bozeman.

By the end of summer, when we have exhausted our ability to find people by phone or email, we will approach the Reunion Committee to do a mailer. Thankfully, the public search I did appears to have a high rate of accurate addresses, so this may meet with some additional contacts.

Irene  continuing efforts to make this reunion a celebration of our Butte heritage.

1.      host a Treasure Hunt to get us out and about Butte supporting local vendors

2.      provide a presentation of our class deceased

3.      show videos with time to reminisce about growing up in Butte

4.      arrange tours around town for classmates and families

5.      a few arts & crafts tables in the hall with items for sale from classmates.

REUNION COMMITTEE OCTOBER 19, 2020

Next Meeting February 22, 2021 4 pm at Silver Bow Pizza

Venue Notes-Time/date, reservations, cost, size, parking, handicap accessible, noise. Prioritize venue amenities to reduce effort by Committee at time of event: tables/chairs/dining set up, music, PA system, Presentation equipment for Powerpoint, caterers, bar/ bar tenders. Do not need the same venue for Friday registration and Saturday dinner/dance. Paulette suggested survey class for preferences. Irene F agreed to do survey to currently known emails. Paula will provide pros & cons, Paulette will proof survey. Send it out in January, 2021. All of this is rough notes, need more information from Paula and Char on the research they did on venues.

·        Copper King closes at 10 unless rent the 25 rooms in the area around it. Someone suggested starting earlier. If use own caterer, extra $150. The room rate for the Copper King is $1,500; they will work with us for discounted hotel rooms; audio visual equipment is included; it has a stage and a dance floor; has a small patio area; adequate parking; air conditioned; provide a full no host liquor set-up.  Catering done with the Montana Ribbon Chop House. Capacity seated is 400.  Reserved for last 2 weekends of July 2022, no deposit now. They will hold the dates unless someone else wants them.  At that time we will get first dibs on the dates, but we will have to give a non-refundable deposit. Marlene spoke with Lisa Shea.

·        The Front Street Station has no air conditioning, can get hot. They open up all the doors and windows and have outside seating, too. Might be OK for Friday night registration but not sit down dinner/dance in July. Front Street Station is $500 per night; accommodate 225 downstairs and 125 upstairs; we can chose our caterer; they have 317 parking spots; patio area in the front and back of the building, provide a full no host liquor set-up. Reserved for last two weekends of July 2022 with no deposit for  now. They will hold the dates unless someone else wants them. At that time we will get first dibs on the dates, but we will have to give a non-refundable deposit. Marlene spoke with Brenna at 498-9626. Reunion Committee thought this price was low. Irene F said this be a basic rate and add-ons cost extra? Ross’ daughter had her reception there recently, maybe he could get info on those costs. There was no heating or air conditioning issues for this event, given the season.

·        Quality Inn/War Bonnet Inn would not take a reservation as they are not sure they will be open by July 2022.

·        The Depot on Arizona Street may not be functioning with amenities we would need. Bringing it all in is too much work.

·        Saddle Club at Rodeo Grounds has 2 rooms, one quieter for talking, and the other for dancing. Has outdoor fire pit for gathering, needs porta potties which Frank C got in past.

·         Others

o   Butte Country Club. Poor communication at contact. Could be problem communicating with them in the future, so Marlene never called back. Paula was able to reach someone there.

o   McQueen Club

o   Masonic Temple is too small. Someone said that it does have connection with Motherlode which could expand space.

o   Finlen-parking problem. What areas are available to rent?

o   KC has upper and lower levels. Only lower level is handicap accessible. (get details from Paula, Char)

o   Animal club was mentioned? Elks maybe. (get details from Paula, Char)

o   Head Frame on Excelsior can be rented, has a bar, tables but may be more work for Committee to arrange and manage amenities.

 Search Committee Update

·        Distributed deceased list to anyone asking. Central provided a list, added corrections. Irene F will merge with the Class of 72 Deceased List. Irene F will do a Powerpoint presentation of the deceased, set to music at the reunion. Likely use high school class picture as that is how some will remember people. May be too much effort to get more adult photos. Some people don’t like their photos taken…

·        Irene F distributed list of living classmates in 2 versions, one alphabetical by last name at time as of 1972 and sort by State/City by last known last name.

·        Reunion Committee agreed to donor based financing. If need more, hopefully reduce or eliminate registration expenses for all. Committee asked to consider a Wish List if they actually have money in advance to work with: #1 pay fees, #2 decorations, #3 ideas like laminated placements, t-shirts, hats, cups, tours, donation to school or cause

·        Paula Parini went through her 2017 list and updated all of Butte classmates using a database. She called people, as well. Paula will make corrections to Search Committee List and pass it around to other Committee Members to add their known contacts. Paulette Scherr will return the update to Irene F to enter into gmail.
